General Updates:
- My Project Dashboard
- The following information is now visible on the dashboard: customer and project team members, project crew and tax rate, with quick links to the project material list & labor rates.
- You now have all the same abilities as in the Admin menu: view active/inactive projects, and add or upload new projects, and export project details.
- Customer Contact Database
- Now you can choose customer project team members from a dropdown instead of adding them individually. If they are not on the list, add them manually in Customer Project Team Info like before and they will automatically be added to the customer database.
- The Default Customer Contact is who CORs are addressed to (formerly a checkbox within the Customer Project Team Info screen).
- You can also view and update the customers' database in Admin > Customers
- Look for the new blue (i) hovers with lots of helpful information in Admin > Workflows, in Project Settings, and the material list.
- Phone numbers are no longer required when adding users and contacts in the platform.
- When adding attachments it is no longer required to "Apply" to save changes.
- Custom Lists in the Admin menu are now paginated and sortable.
Project Management: Grouping Tickets
- The new UI makes it easier to add and remove tickets from a group.
Field Module: Timecards
The new Labor section in forms makes it possible to capture time that is allocated by type, trade/class, area and cost code - with optional employee signatures. Be sure to watch the video to see how it appears to mobile users, and keep reading for help setting up your Timecard.
Download the Timecard from the Form Template Library or create your own!
- Download or start a form in Admin>Forms and choose the Section Type = Labor. Use the cog wheel to customize the labor section.
- To enable employee signatures, check Signature Required and choose a Signature Method.
- All preset timecard options will be listed: Cost Code, Area, Trade, Class. Check the "Show Field" box to include the ones that you want on your company's timecard. They can be renamed to your preference.
- For each of the entries above, you'll need to give the mobile user a list of options to choose from. This list can be customized in Admin > Custom Lists or elsewhere - see below:
- Trade and Class: create a static list in Admin > Custom Lists then choose that list in the Comment Source dropdown, OR select the Comment Source 'Employee Trade' or 'Employee Class' which will show any trades and/or classes that have been used in Admin > Field Employees.
- Cost Codes and Area: create a static list in Admin > Custom Lists then choose that list in the Comment Source dropdown, OR select Comment Source 'Budgeted Cost Codes' or 'Budgeted Areas' (this requires setup in the new Project Budget section - see below).
- Check Response Required where applicable.
- Use the green plus to add additional line items if you wish to capture more information on your timecards (eg add a Comment section to capture scope detail, etc.)
Project Budgets & Crews (for use with Timecards)
Enter your project budget by cost code, area & type, along with estimated hours/rates/estimated cost - currently for reference only. Use the Allow Labor Entry checkboxes to turn on/off any cost codes for use on timecards.
Project budgets can be copied from the company's default, if one has been set up in Admin > Templates, or uploaded via template, or entered manually using the green plus.
Make sure to review the following form settings before publishing the form:
-
- We suggesting adding a category for "Timecards" for easy filtering
- If timecards require an additional signature after being submitted, change the Default Form Action to Send for Signature
- Add any additional form contacts, that is people who should be copied on timecards who are not on the project team.
